In this article, you will learn how to use the timesheets reports built into Workiz — where to find them, what each report shows, when to use it, and how to make it work for your business.
What are timesheets reports?
Every time a team member clocks in and out in Workiz, that entry is recorded on their timesheet. Learn more about logging time here.
Timesheets reports pull those entries together so you can see how much time your team is logging, which jobs that time is going to, and what it's costing you in labor. Instead of reviewing individual timesheet entries one at a time, you can pull up a report that answers a specific question in seconds.
For example:
- "How many hours did each team member clock this week?"
- "What did labor cost me over the last 3 months?"
- "Which jobs is my team spending the most time on?"
Workiz has three ready-to-use timesheets reports that answer these kinds of questions right out of the box. Each one opens as a live report, pre-configured with a sensible starting filter and layout — you're not looking at a static preview.
Note: These reports reflect clocked time, not scheduled time. Timesheets reports are built from actual clock-in and clock-out entries, so they won't include time that was scheduled but never clocked.
Where to find your timesheets reports
- From the left-side navigation panel, go to Reports
- Search for "timesheet," or select the Timesheets category from the left-hand list of categories
- Select one of the three report templates to open it
Note: A separate, legacy Timesheets report is also available under Legacy reports, further down the same category list. The two exist side by side. Switching to the new timesheets reports is optional, and your legacy report isn't going anywhere.
How timesheets reports work
Every timesheets report in Workiz is built on the same foundation, which means they all work the same way. Each report shows you a list of timesheet entries, and you can shape what that list looks like using three tools:
Filters
Filters let you narrow down which entries appear in the report. Select + Add filter to filter by User, Job, Job name, Cost, or Clock in, or select an existing filter chip (such as Clock in is Last 3 months) to change it. If you do not set a filter, the report shows all entries.
Grouping
Grouping rolls your entries up into categories so you can see totals at a glance. Use the Group by dropdown to group by User, Clock in, or Clock out. Grouping by a date field lets you choose the granularity, such as by week or month. Select the X on an existing grouping to go back to one row per entry.
Visible columns
Each report comes with a default set of columns — the pieces of information shown for each entry. Select Fields to add or remove columns depending on what you want to see.
You can also select Export as to download any report as a PDF or CSV.
Each of the reports below comes pre-configured with sensible defaults for filters, grouping, and columns. You can use them as-is or adjust them on the fly.
Your default timesheets reports
Workiz includes three pre-built timesheets reports. Here is what each one does and when you might use it.
All Entries
This report is a complete view of your clocked-in timesheet entries, with one row per entry and no filters applied. It is the best place to start when you want to review individual clock-ins and clock-outs.

- Reviewing individual timesheet entries
- Checking which jobs time was logged to
- Exporting timesheet data

By User
This report shows total hours and cost clocked per user, with one row per team member instead of one row per entry. Use it to see how much time each person is logging and what it's costing you.

By Week

Understanding the columns
Entry columns
When a report isn't grouped (like All Entries), it shows one row for every clock-in/out entry:

| User | The team member who logged this entry. |
| Job | The job this entry is tied to, if any. Selecting it opens that job. |
| Job name | The name of the job tied to this entry. |
| Clock in | The date and time this entry started. |
| Clock out | The date and time this entry ended. |
| Hours | The total hours logged for this entry. |
| Cost | The labor cost calculated for this entry. Cost = hours worked × that technician's individual hourly rate. |
Notes is also available as a field on a timesheet entry, though it isn't shown by default. Select Fields to add it to your report.
Grouped columns
When you group by User, Clock in, or Clock out, the individual rows roll up into summary columns instead:

Saving your own custom reports
Every report above is a great starting point, but your business is unique — and sometimes you need a report that is set up exactly the way you want it, every time.
Rather than adjusting filters or groupings every time you open a report, you can save your own version of any timesheets report as a custom report. Once you've adjusted a report to show what you want, select Save as custom report, give it a name, and select Save report.
When you save a custom report, you can lock in:
- The date range or filters you always use
- Your preferred grouping (by user, by week, by month, etc.)
- The columns you want to see
Your saved version is added to My reports > Custom reports. The original pre-built reports stay untouched, so you can always go back to the default if you need to.
