In this article, you will learn how to set a custom sales definition so your sales reporting reflects how your business actually defines a sale.
Every business tracks sales a little differently. Some consider a sale final once a customer approves an estimate, while others don't count it until a deposit is collected, an invoice is generated, or the job is fully completed. Workiz allows you to define what counts as a sale for your business, so your sales reporting is accurate to your own sales process.
How it works
In your account settings, you can choose one or more of the following events to define a sale:
- On estimate approval — Triggered when a customer approves an estimate, an estimate is moved to Won, a user manually syncs an approved estimate to a job, or a lead converts with an estimate
- Deposit given / Payment added — Triggered when the first payment transaction is recorded on the job or invoice
- Job invoiced — Triggered when an invoice is generated for the job
- Job moved to Done — Triggered when the job status is changed to Done
You can select as many of these options as apply to your business. Workiz will automatically create a sale as soon as the first selected event occurs — so if you select multiple definitions, whichever one happens first for a given job is what triggers the sale.
How sales amounts are calculated
The sale amount used in reporting is always the amount linked to the job itself. Totals from standalone invoices, or from estimates that haven't been synced back to a job, are not counted toward your sales reporting. We recommend keeping all of your estimates and invoices connected to jobs to ensure your reporting is as accurate and up to date as possible.
Setting your sales definition
- From the top navigation bar, select your profile icon > Settings
- Under General settings, select Sales definition
- Check the box next to each event that you want to count as a sale
- On estimate approval
- Deposit given/payment added
- Job invoiced
- Job moved to Done
- Select Save
Where this applies
Once you've set your sales definition, it will be reflected across all sales-related reporting including the new dashboard and new reporting.
Legacy reporting
Your custom sales definition does not apply to legacy reporting or legacy dashboards. Those will continue to reflect Workiz's historical sales definition — a combination of estimate approval and job completion — regardless of what you've configured here. To ensure you're seeing reporting that reflects your custom sales definition, ensure you are viewing the latest version of the home dashboard and reporting.
