In this article, you will learn how to use Genius Copilot to streamline your day to day operations.
Genius Copilot is your built-in, AI-powered assistant designed to help you complete common tasks more efficiently across the platform. Whether you're creating content, analyzing data, or updating estimates, it works alongside you to reduce manual effort and save time.
Genius Copilot helps you work faster by:
- Answering data-related questions about your business
- Generating custom reports (jobs and leads)
- Creating text for automations
- Polishing and refine estimate descriptions
- Generating images for estimate items
Answering questions and generating custom reports
Genius Copilot lets you ask specific, data-driven questions about your business using a dedicated chat. Instead of manually building reports, you can simply ask questions like:
- Which technicians generated the most revenue?
- What services are the most profitable?
- Which customers have the highest unpaid balances?
Not sure what to ask? Ask Genius Copilot directly — it will respond with a list of example questions.
Copilot will analyze your data and provide a clear, high-level answer directly in the chat. From there, you can choose to generate a full report based on the results, which can be saved and revisited at any time
To ask Genius Copilot questions and generate reports:
- In the navigation bar, select Ask Genius
- Enter your question and allow Genius Copilot to respond
(Optional) Select Open report in Workiz
Genius Copilot will only suggest creating a report when the data is supported by Workiz’s reporting capabilities. If a report can’t be generated, it will let you know.
- (Optional) Select Save report
Genius Copilot can help with data-related questions. If it’s unable to answer something, it will connect you with Workiz’s support team.
Polishing estimate descriptions
Genius Copilot enhances your estimates by refining item descriptions and generating images where they’re missing.
It reviews the items included in your estimate and improves their descriptions to make them clearer, more professional, and easier for clients to understand. At the same time, it can generate images for items without visuals, making it easier for clients to understand what's included.
Images are generated for all items missing them, and work best when the item name or description includes enough detail for accuracy.
These improved descriptions and images appear directly in the estimate your client sees in the client portal, creating a more polished, professional experience that helps you stand out from the competition.
To enhance estimate items:
- Open an estimate you want to edit
- Ensure the estimate already has items
- Select Polish descriptions
- Allow for Genius Copilot to suggest improvements to your estimate items
- Review the suggestions and uncheck the ones you want to deny
- Select Apply X selected
- Select Generate images to let Copilot generate images for items missing images
- Review the suggested images and uncheck the ones you want to deny
- Select Attach X selected
Images you accept are automatically saved to your price book, while descriptions are applied only to the current estimate.
Generating item images
If you'd prefer generate images one at a time, you can do so without having to recreate the descriptions.
To generate item images on estimates:
- Open an estimate you want to edit
- Ensure the estimate already has items
- Next to an item without an image, select the empty image box
- Allow for Genius Copilot to generate an image
- Select Approve to accept the suggestion or enter a specific instruction to revise the image (e.g., change the color, update styling, etc.)
Creating text for automations
Genius Copilot simplifies the process of creating automations by generating ready-to-use messages tailored to your workflow.
It analyzes the context of your automation and suggests a relevant message based on the situation. For example, Genius Copilot can adjust messaging depending on whether you’re contacting a client about a completed job or notifying admins about a new dispute.
Messages come professionally written and include short codes (e.g., {client_first_name}) to automatically personalize each message.
To generate messages for automations:
- In the navigation bar, select Automations
- Create or edit an automation rule
- When editing the message for your automation, select Create with AI
- Review the suggested message
- Select Use this to accept the suggestion or enter a specific instruction to revise the message (e.g., make it shorter, update subject line, etc.)
