Monitoring technician conversations with Genius Recording

In this article, you will learn how to use Genius Recording to monitor your techs while out in the field. 

Genius Recording give you visibility into what’s happening in the field by capturing real job activity. This allows you to review performance, ensure processes are being followed, and identify opportunities to better support and coach your team.

With Genius Recording, you get access to a full breakdown of each interaction, including:

  • Recording: Listen to the full job interaction
  • Talk ratio: See how much each person spoke
  • Summary: A short overview of the conversation
  • Highlights: Key moments like pricing, objections, and next steps
  • Transcript: A complete, searchable record of the conversation

Enabling Genius Recording

To access Genius Recording, you will need to enable it within your on-demand settings. 

  1. From the top navigation bar, select your profile icon > Billing
  2. Select the Usage tab
  3. Ensure you have on-demand charges enabled and configured
  4. Turn on the toggle for Genius Recording

How you get billed for Genius Recording

Genius Recording is billed per minute of recorded audio. Any partial minute is rounded up to the next full minute — for example, a recording that runs 1 minute and 15 seconds is billed as 2 minutes.

Workiz automatically trims silence from each recording, so you're only billed for the portions that captured audible dialogue.

You can monitor your team's usage of Genius Recording in the Usage tab of your Billing page in Workiz. 

Best practices

Since billing is based on the audio actually captured, keeping your recordings intentional and well-captured helps ensure you're only billed for conversations you meant to record:

  • Stay within range of all parties
    Make sure the device is close enough to clearly capture everyone involved in the conversation.
  • Be mindful of background noise
    Take the phone out of your pocket and hold it in front of yourself and the client to help ensure the audio is captured clearly.
  • Use extra caution in noisy environments
    If you're somewhere with a lot of background activity — kids running around, a busy office, overlapping conversations — be deliberate about when you let the recording run in the background.

Since the system will capture whatever audio is present, including conversations you may not have intended to record, and you'll be billed accordingly, it's worth staying mindful of when and where a recording is active.

Creating job recordings

  1. From the mobile app, open a job
  2. At the bottom of the screen, select the record icon

  3. Select Start recording

    Make sure your client is OK with being recorded beforehand.

  4. When done, select the Stop icon to end the recording

Workiz will continue recording until it is manually stopped. Your techs can leave (but not close) the app and lock their device without stopping the recording. 

Recordings will automatically be saved and visible in both the web and mobile app. Fully closing the app will stop and save the recording, but not automatically upload it for viewing on the web app. 

Reviewing job recordings

After a recording is saved, it will automatically become available to view in the web app. 

  1. From the sidebar menu in the web app, select Recordings
  2. Select a recording to view more details (e.g., recording, summary, highlights, etc.)

Deleting job recordings

Job recordings can only be deleted from the web app by team members with the proper permissions. Technicians will be able to use the mobile app to view recordings, but not delete them.

  1. Next to the recording you want to delete, select the trash bin icon
  2. Select Yes, delete to confirm

Recordings will be permanently deleted.
