Automatically assigning jobs to techs with Genius Answering

In this article, you will learn how to use Genius Answering to assign jobs to technicians.

Genius Answering is an AI-powered answering service capable of picking up incoming calls, speaking with your customers about the services they need, and even adding jobs to your schedule. Genius Answering is a powerful AI tool built right into Workiz, eliminating the need for manual training.

When handling calls, your AI agent will create new jobs and leads as unassigned appointments by default. It follows your online booking settings to check availability, but you’ll still review and assign each appointment to a technician.

If you prefer, you can allow Genius Answering to automatically assign jobs to your technicians based on:

  • Availability (openings in their schedule that accommodate the job duration)
  • Skills (job types)
  • Service areas

Technicians assigned to jobs booked through Genius Answering will receive a text notification as soon as the job is scheduled.

You can also set how much advance notice is required for AI-assigned jobs — anywhere from 1 hour to 7 days, or no minimum notice at all. This setting controls the availability your AI agent offers when scheduling over the phone. It will always book the earliest available time that meets your notice requirements.

Enabling job assignments with Genius Answering

  1. From the sidebar menu, select Genius AI
  2. Select Configure
  3. Select Scheduling & appointments
  4. Under Appointment availability, select Book jobs on technicians' schedule

  5. Under Advance notice required, set the buffer time your team needs (e.g., 1 hour, 2 days, etc.)
  6. Select Save

Once saved, Genius Answering will automatically assign jobs to your technicians whenever a job is booked during an AI-handled call.
