Creating automations around estimates

In this article, you will learn how to create automations around estimates.

Workiz Automations is a Feature Center add-on designed to help you automate repetitive tasks and keep work moving without manual follow-ups. You can build automation rules around specific trigger events — such as when a job reaches a certain status, an estimate is created, or an invoice is paid in full — and automatically send follow-ups or reminders to your team or clients.

When creating an automation rule around estimates, you can choose from several trigger events based on when an estimate is:

  • Created
  • Sent 
  • Approved
  • Declined
  • Won
  • Archived

How to create an automation for estimates

  1. From the top navigation bar, select the Automation Center
  2. Select Add automation
  3. Enter a title for your automation rule
  4. Select this happens and choose an estimate

  5. Select the specific event that you want to use for this rule (e.g., is created, is sent, is archived, etc.)
  6. Finish setting up your automation rule (e.g., send client a text message 2 days after the estimate date of sending)

  7. Select Add automation

How automation conditions are validated for estimates

Before an automation runs, Workiz always rechecks that the trigger conditions are still true. This ensures automations only fire when they’re actually relevant.

For example, if you set up an automation to follow up when an estimate is sent (pending), but the estimate’s changes before your rule is scheduled to run, the automation will not send. Workiz recognizes that the original conditions are no longer met and automatically cancels the action.

This validation happens every time an automation is about to fire, helping prevent outdated, incorrect, or unnecessary reminders from being sent to your team or your clients.
