In this article, you will learn how to create and use tags across jobs, leads, clients, and calls.
Tags are a great way to help you organize and categorize information across your account. You can use them to:
- Highlight jobs that are awaiting parts
- Identify which calls are in need of an urgent response
- Quickly spot high-quality leads
- Flag clients you no longer want to service
Creating tags
Creating new, reusable tags can be done in just a few steps.
- Open the job, lead, client or call you want to tag
- Follow the step corresponding to the type of tag you are creating:
- Jobs/leads: Next to Tags, select the + icon
- Clients: From the client details side pane, select Add tag
- Calls: Next to Tags, select Edit > Create new

Create your tag
- Enter a tag name
- Choose a color
- Select Save
Your new tag will automatically be added to the job, lead, client, or call. It will also be saved for future use across other jobs, leads, clients, and calls.
To apply an existing tag, simply follow the same steps and select it from the list.
Tags are not shared across every part of the system. Jobs and leads share the same set of tags, but clients and calls have their own separate set of tags. This means that tags created for jobs and leads will not appear as available tags for clients or calls (and vice versa).
Editing tags
Workiz makes it easy to edit existing tags, and even gives you some flexibility in how you want those changes to be applied.
- Open the job, lead, client, or call page
- Follow the step corresponding to the type of tag you are creating:
- Jobs/leads: Next to Tags, select the + icon
- Clients: From the client details side pane, select Add tag
- Calls: Next to Tags, select Edit
- Next to the tag you want to update, select the edit icon
- Update the tag name and/or color, and select Save
- Decide how you want your changes to be applied
- Save as a new tag: Create a new, separate tag with your changes
- Update all existing records: Apply your changes to all relevant jobs, leads, clients, or calls
- Select Save
Removing tags
Tags can be removed from a specific job, lead, client, or call. This means the tag will be removed, but not deleted. It will still be available to use across other jobs, leads, clients, or calls.
- Open the job, lead, client, or call page
- Select the X icon next to the tag you want to remove
- Select Yes, remove tag to confirm
Deleting tags
You also have the option of permanently deleting a tag. This is a permanent action that cannot be undone. Deleting a tag will also remove it from all existing places where it has been used.
- Open the job, lead, client, or call page
- Follow the step corresponding to the type of tag you are creating:
- Jobs/leads: Next to Tags, select the + icon
- Clients: From the client details side pane, select Add tag
- Calls: Next to Tags, select Edit
- Next to the tag you want to delete, select the delete icon
- Select Yes, delete from all to confirm
Filtering by tags
Once you’ve created tags, you can use them to filter your reports. Open your preferred report and apply a tag filter to view only the jobs, leads, clients, or calls that include specific tags.
Using Custom Reports, you can go a step further — create tailored views that exclude items with certain tags, giving you even more control over your data. To learn more about creating custom reports, please see this article.
Creating automations using tags
Tags are also a great tool for creating ultra-specific scenarios with Workiz Automations. Simply add a condition to your automation rule so you can ensure the rule is only triggered when a job, lead, client, or call has or does not have a certain tag.
