Creating automation rules for tasks

In this article, you will learn how to create automation rules around tasks.

Tasks help you break large jobs into smaller, more manageable steps. With Workiz Automations, you can set up automated reminders for each task — keeping your team or clients on track without lifting a finger.

Before you can create automation rules for tasks, you will need to ensure the following add-ons have been enabled from the Feature Center:

How to create automation rules for tasks

You can create automation rules for tasks just like you would for jobs, estimates, or invoices: right from the Automation Center.

  1. From the sidebar menu, select Automations

    Not seeing this option? You can always pin new add-ons to your sidebar menu from the Feature Center, or access this settings page from the primary settings menu (profile icon > Settings).

  2. Select Add automation
  3. Enter a title for your rule (e.g., task client reminder, task tech reminder, etc.)
  4. Select this happens taskis created or is marked as done

  5. Select do this > send
  6. Select someone and choose who should receive this automated message (e.g., client, assigned team member, specific role, specific team member)
  7. Select a reminder and choose what type of automated message to send (e.g., text, email, or both)
  8. Enter the automated message you want the recipient to see
    2025-06-16_10-23-03.378 1.png Use the shortcode menu to add dynamic text to your messages, automatically pulling in details like the assigned tech, client name, task description, and more.
  9. Select within a defined time and choose when this automated message should be sent (e.g., 10 minutes after, 2 hours ahead of, etc.)
  10. Select field and choose task start time or task end time
  11. Select Add automation

Your automation will now be created and begin sending out reminders for future tasks.
