In this article, you will get answers to some of the most frequently asked questions relating to Price Book Pro.

Price Book Pro is a prebuilt flat-rate pricing tool designed specifically for service businesses. It gives your team access to ready-to-use catalogs for HVAC, plumbing, and electrical — complete with built-in labor rates, material costs, and markups. With consistent, professional pricing across every estimate, invoice, and job, Price Book Pro helps you save time, protect your margins, and build trust with your clients.

  • Price Book Pro is a prebuilt, ready-to-use catalog tailored for service businesses in HVAC, electrical, and plumbing. Unlike a standard price book that you create and manage manually, Price Book Pro comes loaded with flat rate tasks, materials, and labor hours — most of which are updated regularly to reflect market changes.

With Price Book Pro, you get:

    • Prebuilt flat rate (task) pricing for HVAC, plumbing, and electrical services
    • Automatic updates to material costs, items, and more
    • Built-in profit protection using your defined labor rates and material markups

It's a smarter, more efficient way to maintain accurate, consistent pricing without the heavy lift of managing everything yourself.

  • Price Book Pro catalogs are typically updated on a quarterly basis to reflect changes in material costs, material availability, and labor trends. These updates help ensure your pricing stays competitive and profitable.

To learn more about updating your catalogs, please see this article.

  • The option to update catalogs only appears when a new version is available. If your catalogs are already up to date, you won’t see an update button. Updates are released approximately once per quarter.
  • Items that are catalog-managed cannot be directly edited to preserve the integrity of future updates. To make changes, you can convert the item into a user-managed item, which gives you full control over pricing and details — but the item will no longer receive catalog updates.

To learn more about user-managed items, please see this article.

  • A user-managed item is a custom version of a catalog item that you’ve chosen to edit. These items are fully editable but will not receive future updates from Price Book Pro unless you convert them back to catalog-managed.

To learn more about user-managed items, please see this article.

  • Catalog-managed items will show a badge or label in your price book to indicate that they are part of the Price Book Pro catalog and receive regular updates. Once an item is edited and becomes user-managed, that badge will be removed.
  • Yes. You can disable any catalogs, categories, flat rate tasks, or individual materials you don’t use. This helps keep your price book clean and relevant to your business.

Disabling anything within your Price Book only prevents your team from seeing it when navigating your catalogs. You will always have the ability to re-enable anything you've previously disabled.

To learn more about disabling catalogs, categories, and more, please see this article.

  • Labor rates and material markups can be adjusted per catalog under the Price Book Pro settings. Each catalog — HVAC, plumbing, and electrical — has its own independent markup and labor settings.

  • Markup is calculated as a percentage increase over the base cost of a material. For example, if a part costs $10 and you apply a 100% markup, it will be priced at $20 in your price book.
  • Flat rates (tasks) can be found in your Price Book Pro catalog under the relevant category. You can browse by catalog (HVAC, plumbing, or electrical) or search by keyword to locate specific tasks. Flat rates will have a group icon to help you distinguish them between individual materials.
