In this article, you will learn how to manage your Price Book Pro catalogs, including:
- Setting your labor hours and material markups
- Disabling unwanted catalogs, categories, flat rates, or materials
- Editing pricing for specific items
Price Book Pro gives you a flexible, plug-and-play catalog — but that doesn’t mean it’s one-size-fits-all. Whether you want to fine-tune your pricing, hide items you don’t use, or adjust your profit margins, this guide will show you how to make Price Book Pro work for your business.
Setting your labor hours and material markups
With Price Book Pro, you'll receive access to three different catalogs: HVAC, plumbing, and electrical. Updates made to one catalog won’t affect the others, so be sure to adjust each one individually as needed.
- From the sidebar menu, select Price book
- Select the Catalogs tab
- For the Price Book Pro card, select View
- For the catalog that you want to update, select the three vertical dots icon > Edit pricing
- Edit the pricing preferences for this catalog:
- Material markup: Enter the default percentage markup you want to apply to all material items within this catalog
- Labor price per hour: Enter the default price you want to charge your clients for labor within this category
- Select Apply
- Repeat Steps 4–5 for your remaining catalogs
Setting your labor costs for Price Book Pro
The labor price you set at the catalog level only affects the hourly price you charge your clients for labor. If you want to properly track the profits for these services, you will also need to edit the costs your business pays for this labor.
- From the sidebar menu, select Price book
- Select Items & products
- Search for the labor item you want to edit (e.g., HVAC labor, plumbing labor, etc.)
- Edit the unit cost to reflect the hourly rate you pay your team
- Select Save
- Repeat Steps 3–5 for the remaining labor items (e.g., electrical labor, plumbing labor, etc.)
Updating your Price Book Pro catalogs
To help your business stay competitive and in sync with market changes, updates are typically released on a quarterly basis. These updates ensure your pricing stays accurate without the manual upkeep, so you can focus on running your business, not maintaining your price book.
Workiz will notify you within the app when updates are available. Updates only take a few moments and can be applied with just a click. If no updates are available, you will not see an option to update.
- From the sidebar menu, select Price book
- Select the Catalogs tab
- For the Price Book Pro card, select View
- Select Update (if available)
Disabling unwanted catalogs, categories, flat rates, and items
Price Book Pro includes ready-to-use catalogs, categories, flat rates, and items tailored for service businesses. While not everything may apply to your team, keeping your price book clean and relevant is easy — and only takes a few quick steps.
Disabling catalogs
Price Book Pro automatically gives you access to separate catalogs for HVAC, plumbing, and electrical. If your business doesn't operate in all three industries, you can quickly disable a catalog to prevent your team from accessing the wrong items.
- From the sidebar menu, select Price book
- Select the Catalogs tab
- For the Price Book Pro card, select View
- For the catalog that you want to update, select the three vertical dots icon > Disable
- Confirm that you want to disable the catalog
After disabling the catalog, it will no longer be visible to your teams out in the field. As an admin in Workiz, you'll still see it as an available catalog, but it will be grayed-out to signal that it's not active.
To reactivate a disabled catalog, simply select the three vertical dots and choose "Enable".
Disabling categories, flat rates, and items
Removing unwanted categories, flat rates, and items is also a quick process. To learn more about disabling any one of these, please see this article.
Editing pricing for Price Book Pro items
Price Book Pro comes pre-built with ready-to-use materials and flat rates (tasks) with pre-built descriptions, images, prices, and costs.
Flat rate groups
Flat rate groups come pre-built with all of the necessary materials and labor hours required for the specific service. While catalog-managed flat rates cannot be edited directly, you can modify the prices that your clients will see by adjusting the labor cost and material markup at the catalog level.
Need to update a flat rate item for a specific job as a one-time thing?
After adding a flat rate to a job, you can open it from the job items to make any one-time modifications for a job (i.e., applying a residential/commercial labor charge). These changes will not affect the flat rate item saved to your price book.
Specific items
Unlike catalog-managed flat rates, catalog-managed items/materials can be edited — but doing so will convert the item to user-managed. User-managed items won’t receive future catalog updates. You can always switch back to catalog-managed to restore the latest version of the item.
Looking to update labor items?
Unlike catalog-managed material items, you can directly update the price and cost to labor items without having to convert it to user-managed.
- From the sidebar menu, select Price book
- Select Items & products
- Open the item you want to edit
- Select Change to user-managed
- Select Yes, continue
- Edit your item as desired and select Save
