Inserting hyperlinks, images, and files in automated messages

In this article, you will learn how to insert hyperlinks, add images, and attach files to your automated messages using Workiz Automations.

Workiz Automations is a Feature Center tool designed to send automatic notifications to your team and clients based on certain conditions you define. This feature is designed to save you time, prevent job cancellations, and help scale your business with less effort.

With Workiz Automations, you can include relevant hyperlinks, images, and attachments to provide your team and clients with direct access to important resources, such as contracts, guides, or service instructions. This ensures all necessary information is delivered efficiently, enhancing communication and streamlining your workflows.

In order to edit automation rules, you will first need to enable the Workiz Automations add-on from the Feature Center.

How to insert hyperlinks and attachments

Hyperlinks, images, and attachments will only appear on automated emails, not automated text messages. These formatting options will only be displayed when editing email templates. 

  1. From the sidebar menu, select Automations
  2. Open an existing automation rule or create a new one
  3. Select Preview/edit message

  4. Insert your hyperlink:

    1. Highlight the text and select the hyperlink icon 
    2. Insert your URL into the Link field and select Save

  5. Add your image

    1. Select the image icon and choose the image you want to add
  6. Attach your file

    1. Select the attachment icon and choose the image you want to attach

      Workiz only allows you to attach DOC, PDF, PNG, JPG, or GIF files of up to 25MB to your automated emails.

  7. Select Save and close
  8. Select Save/Update automation
