Removing items, groups, and categories from your price book

In this article, you will learn how to remove items, item groups, and item categories from your price book.

Your price book may be made up of various items, item groups, and item categories. New items, item groups (and flat rates), and item categories can be added in just a few steps. They can also be removed from your price book to ensure your team always has access to an up-to-date catalog. 

Removing items

Removing an item from your price book can be done in one of three ways:

  • Deleting the item: Permanently erasing the item from your account
  • Disabling the item: Removing the item from your price book altogether, but keeping the item stored for record-keeping purposes
  • Hiding the item: Removing visibility of the individual item in your price book, while allowing it to appear in related item groups

Deleting items

This feature is currently only available to users who are part of the beta program.

Deleting a price book item is a permanent action that removes it from future use across your account. To preserve data integrity, deleted items will still appear on past jobs and invoices.

This action cannot be undone. If you think you may want to use the item again later, consider disabling it instead. Disabled items are hidden from your team but can be reactivated anytime.

Before you can delete an item, you need to remove it from all groups and categories. 

  1. From the sidebar menu, select Price book
  2. Select the item you want to delete
  3. Select Delete item

    Not seeing this option? Deleting price book items is only available to users assigned to the admin role. To resolve, please contact your account admin.

  4. Select Yes to confirm

This item will be permanently deleted. 

Disabling items

If you think your team may need to use an item again in the future, disabling the item is a better option. This effectively removes it from your price book and prevents team members from interacting with them. You can always re-enable the item as needed. 

  1. From the sidebar menu, select Price book
  2. Check the boxes for all of the items you want to disable
  3. From the bulk actions menu, select Update item status Disable

  4. Select Yes, disable

    Please be aware that disabling an inventory-managed item will also permanently delete all related inventory levels. Reenabling these items will not restore inventory levels. 

Disabled items will not be permanently deleted. You can reenable one of these items by filtering by disabled items from your price book settings page.

Hiding items

If an item exists as part of an item group, you may instead choose to hide the individual item. This way, the item remains accessible within the group but is not available as a standalone item.

  1. From the sidebar menu, select Price book
  2. Select the item you want to hide
  3. Turn the toggle switch off for Show item on price book

  4. Select Save
  5. Repeat Steps 2-4 for all of the remaining items you want to hide 

These items will no longer be visible in your price book. To make them visible again, open the item and turn the toggle switch back on. 

Removing item groups

Removing an item group from your price book can be done in one of two ways:

  • Disabling the item group: Removing the item group from your price book, but keeping the item group stored for future use
  • Deleting the item group: Since item group usage is reported at the item level in your Items and Services report, item groups may be permanently deleted from your Workiz account. Deleting item groups will not remove the historical usage of the individual items.

Disabling item groups

This capability is currently only available to users who are part of the beta program.

To join the beta, please contact support.

  1. From the sidebar menu, select Price book
  2. Select the Item groups tab
  3. Select the item group you want to disable
  4. Next to Enable, turn the toggle switch off

  5. Select Save

This group will be disabled and no longer visible in your price book. To view or re-enable a disabled item group, you can filter your item groups by "All" or "Disabled."

Deleting item groups

If you'd prefer to permanently delete an item group altogether, you also have that option. Please be aware that item groups cannot be recovered after deleting.

  1. From the sidebar menu, select Price book
  2. Select the Item groups tab
  3. Under Actions, select the trash can icon for the item group you want to delete

  4. Select Confirm

This item group will be permanently deleted and no longer available in your price book.

Removing item categories

Removing an item category from your price book can be done in one of two ways:

  • Disabling the item category: Removing the item category from your price book, but keeping the item category stored for future use
  • Deleting the item category: Permanently deleting the item category from your price book

Disabling item categories

This capability is currently only available to users who are part of the beta program.

To join the beta, please contact support.

  1. From the sidebar menu, select Price book
  2. Select the Item categories tab
  3. Select the item category you want to disable
  4. Next to Enable category, turn the toggle switch off

    Disabling an item category will also disable all subcategories, item groups, and items within the category.

This category will be disabled and no longer visible in your price book. To view or re-enable a disabled item category, you can filter your item categories by "All" or "Disabled."

Deleting item categories

Like item groups, item categories may also be permanently deleted from your Workiz account. 

  1. From the sidebar menu, select Price book
  2. Select the Item categories tab
  3. Under Actions, select the trash can icon for the item category you want to delete

    Having trouble deleting an item category? You may need to remove all items and sub-categories from within this category first.
