Limiting automations for specific clients

In this article, you will learn how to limit automations for specific clients in Workiz.

Workiz Automations is an add-on designed to send automatic notifications to your team and clients based on certain criteria you define. This feature is designed to save you time, prevent job cancellations, and help scale your business with less effort.

You can also refine these rules even further to ensure they only trigger for specific clients. 

In order to add conditions to automation rules, you will first need to enable the Workiz Automations add-on from the Feature Center/Marketplace.

How to limit your automations

Creating client tags

Before you can tailor your automations to only trigger under specific conditions, you have to create those conditions in your Workiz account. You can do this by using a client tag or job tag. Here, we'll cover using a client tag. To learn how to create a job tag instead, please see this article.

  1. Open a client profile 
  2. Under the Estimates widget, select the tags icon

  3. Select Create new tag
  4. Create your tag

    1. Enter a tag name
    2. Choose a color
    3. Select Save

This tag will now be saved for future use across all of your clients at an account level. To apply a client tag, open a client profile, select the tags icon, and choose the tag you want to apply to a specific client. 

Adding a condition to your automations

  1. Open the automation you want to limit

  2. Select Add condition

  3. Create your condition
    1. At the top of the pop-up, select Select propertyClient tag
    2. Select = is or ≠ is not as desired

      When setting up an automation, you can apply conditions to tailor who receives the automated actions:

      • Condition = "Client Tag X": The automation will only be sent to clients who have been tagged with "Client Tag X"
      • Condition ≠  "Client Tag X": The automation will only be sent to clients who have not been tagged with "Client Tag X"
    3. At the bottom of the pop-up, select Select property and choose the specific tag you want to use
    4. Select Apply
  4. Select Update automation

This condition will now be applied to all future triggers of this automation. To ensure clients are properly included or excluded, open their profiles and apply the appropriate tags to achieve your desired result.

What to expect

Automation example What to expect
2024-06-14_14-46-52.267 1.png This automation will only be triggered if the client has been tagged "Loyal customer." Customers who have not been tagged "Loyal customer" will not receive this automated message.
