In this article, you will learn how to delete an invoice in Workiz.

Before deleting an invoice

Deleting data in Workiz — including invoices — is generally not recommended. Deleting an invoice is a permanent action, and our technical support team will not be able to restore it after deleting.

Here are some other things to consider before deleting an invoice:

  • Job-connected invoices: All associated transactions will be retained at the job level and across all of your reports. The job balance will accurately reflect the transactions (e.g., payment, refund) linked to the deleted invoice. If the job page is still active on your account, refunds for online payments (e.g., credit card) can be processed from the relevant job page.  
  • Standalone invoices: All associated transactions will be deleted from your Payments report and client profile. If you collected an online payment (e.g., credit card), the payment will still appear in the Payments tab of your Workiz Pay dashboard. Refunds may only be processed with assistance from our technical support team. 
  • If you collected an online payment, deleting the invoice will not automatically issue a refund to your client. To refund a payment, please see this article
  • When creating future invoices, the numbering will take into account any deleted invoices. For example, if you deleted invoice #10, the next invoice will still be numbered invoice #11.  
  • If you synced the invoice to your QuickBooks Online account, deleting an invoice in Workiz will not automatically delete the invoice (and transactions) in QuickBooks. To keep your Workiz and QuickBooks accounts in sync, you will need to manually delete the invoice in QuickBooks as well.
  • If your invoice contained inventory items, the units will be returned to their previous inventory location. 

How to delete an invoice

If you are certain you want to delete an invoice, it can be done in just a few steps.

  1. Open the invoice you want to delete
  2. Select ActionsDelete

  3. Select Yes, delete

If an invoice has been deleted from your account, you can open the Activity report to determine who deleted it.
