How clients experience bank transfer (ACH) payments

In this article, you will develop a better understanding of how your clients experience bank transfer (ACH) payments in the Workiz client portal.

The ability to offer bank transfer payments is only available to Workiz Pay users in the US with estimate or invoice subtotals of $20 or more. To sign up for Workiz Pay, please click here.

When making a payment via ACH, your client will be required to connect their bank account.  What your clients see during this process will vary depending on how they choose to connect their bank account. When selecting bank transfer as their payment option, they will be presented with two ways of connecting: 

  • Instantly using their bank account login credentials
  • Manually using micro-deposits

Connecting bank account instantly

Who it’s for: This method is recommended for any client that has direct access to their bank account’s username and password. 

How it works: When selecting this ACH method, your client will be prompted to select their banking institution and enter their bank account’s username and password in order to establish a connection.

The connection is made instantly. Shortly after connecting, they will be able to submit payment. 

After submitting payment, your client’s role in the transaction is complete. It will take approximately 6–8 business days for the funds to appear in your bank account. Workiz will notify you when your funds are finished processing. 

Connecting bank account manually

Who it’s for: This method is typically recommended for commercial clients who may not have access to the login credentials for their business’s bank account. 

How it works: Rather than requiring this client to enter a username and password to establish a connection, this process involves the verification of two small deposits (micro-deposits).

When choosing the manual option, your clients will be required to provide some basic account information, such as the routing number, account number, and their full name.

After the details are provided, your clients will receive a confirmation email from Workiz containing information on what comes next. How long it takes for the micro-deposits to be made will depend on your client's bank. Most often, the micro-deposits are made instantly. If your client belongs to a smaller bank, it may take up to 2–3 business days for the micro-deposits to appear.

After receiving the deposits, your client will need to:

  1. Open their bank statement and find the 3-letter code (the first three letters after the # symbol in the statement descriptor)
  2. Open the verification link provided in the email
  3. Provide the 3-letter code found in their bank statement

Workiz does not save your client's data during this process. After verifying their bank account, they must submit payment without closing or refreshing the page. Otherwise, they will need to restart the verification process.
