In this article, you will learn how to add new users (e.g., techs, dispatchers, managers, etc.) to your Workiz team.
Workiz is a great tool for standalone users, but it really excels at allowing you to manage your team of field techs, admins, and other employees. Adding team members will allow you to easily assign jobs to available techs, communicate with your teammates via SMS and email, and so much more.
Will I get charged for adding new users?
Whether you’re charged for adding a new user depends on the number of available seats in your Workiz plan. Each plan includes a set number of seats, which determines how many users you can add to your account.
You can add users at no additional cost as long as you stay within your available seats. For example, if your plan includes 10 seats and you currently have 5 users, you can add up to 5 more users without additional charges.
If you exceed your available seats, additional users will require purchasing more seats, which will increase your plan cost. You will be presented with a checkout page whenever a new user requires additional seats.
You can view both the number of available seats and the price per user in the Billing page.
Adding seats will increase your plan cost for the remainder of your contract. Removing users during this period will not lower your cost.
If you’d like to adjust your seat count, you can do so by contacting your account manager during the renewal period.
Adding new team members to your Workiz account
- From the top navigation bar, select your profile icon > Manage team
- Select Add new
- Select the type of team member you would like to invite (e.g., user or subcontractor)

Inviting users
- Enter this user's information:
- Email address
- Name
- Schedule color: Select the paint brush icon and choose a color you want to associate with the user’s account when viewing your schedule
- Phone
- Call masking: Decide whether you want to prevent this user from seeing clients' real phone numbers when assigned to jobs
- Permission level: Choose what role you want to assign to this user
- Field tech: Choose whether you want to assign jobs to this user
- Track location: Choose whether you want to track this user’s location
Select Invite user
If you have already reached the total number of users included in your subscription, you will be prompted to pay for an additional seat in order to complete the invitation process.
You will not be charged until you select "Purchase."
Inviting subcontractors (free)
When included as part of your Workiz plan, subcontractors can be added to your account for free. There is no limit to the number of subcontractors you can invite.
- Enter this subcontractor's information:
- Email address
- Name
- Schedule color: Select the paint brush and choose a color you want to associate with the subcontractor's account when viewing your schedule
- Phone
- Call masking: Decide whether you want to prevent this user from seeing clients' real phone numbers when assigned to jobs
- Select Add user
What invited users will see
The user you just invited will receive an email sent to the address you provided for the account. Invited users will need to create a password before the registration is complete and their account is created.
