How to add new team members to your Workiz account

In this article, you will learn how to add new users (e.g., techs, dispatchers, managers, etc.) to your Workiz team.

Workiz is a great tool for standalone users, but it really excels at allowing you to manage your team of field techs, admins, and other employees. Adding team members will allow you to easily assign jobs to available techs, communicate with your teammates via SMS and email, and so much more.

You can easily add new team members to your account based on the number of paid seats included in your Workiz subscription.

Please be aware that if you reach the total available seats, additional team members will incur an additional cost. A breakdown of the cost will be presented to you prior to inviting the new team member.

To view the number of total seats on your account, please go to your Billing page and review your plan details.

Adding new team members to your Workiz account

  1. From the sidebar navigation, select Create/Add new > Team member

    Not seeing the option to add a new user? You may not have the correct permissions set up for your role in Workiz.

    Please reach out to your account admin and ask them to enable the User settings permission for your user.

  2. Select the type of user you would like to invite:

    1. User: A User can log in to the Workiz via web or mobile app, create invoices, collect signatures, and request payments. These permissions can be customized at any point.
    2. Subcontractor: A Subcontractor, or free user, can be assigned to a job and receive SMS notifications, but cannot log in to the dashboard. This is an ideal option for subcontractors who you don’t work with on a regular basis.

Inviting paid users

  1. Enter this user's information:

    1. Email address
    2. Name
    3. Schedule color: Select the paint brush icon and choose a color you want to associate with the user’s account when viewing your schedule
    4. Phone
    5. Call masking: Decide whether you want to prevent this user from seeing clients' real phone numbers when assigned to jobs
    6. Permission level: Choose what role you want to assign to this user
    7. Field tech: Choose whether you want to assign jobs to this user
    8. Track location: Choose whether you want to track this user’s location
  2. Select Invite user

    If you have already reached the total number of users based on your subscription, you will be prompted to pay for an additional seat in order to complete the invitation process. You will not be charged until you select "Purchase."

Inviting free subcontractors

In order to add subcontractors to your team, you will first need to enable this feature from the Feature Center/Marketplace.

  1. Enter this subcontractor's information:

    1. Email address
    2. Name
    3. Schedule color: Select the paint brush and choose a color you want to associate with the subcontractor's account when viewing your schedule
    4. Phone
    5. Call masking: Decide whether you want to prevent this user from seeing clients' real phone numbers when assigned to jobs
  2. Select Add user

What invited users will see

The user you just invited will receive an email sent to the address you provided for the account. Invited users will need to create a password before the registration is complete and their account is created.
