Connecting Workiz to other apps using Zapier

In this article, you will learn how to connect Workiz to other applications using Zapier.

What is Zapier?

Zapier is a third-party application designed to allow apps to talk to each other. In Workiz, Zapier is used to create automation rules between Workiz and other apps. These automation rules are known as “Zaps.”

With Zapier, you can set up automation rules to automatically create a new job or lead in Workiz whenever a specific trigger event occurs in another app. Additionally, you can configure new jobs or leads in Workiz to serve as trigger events, automatically initiating actions in other apps.

Connecting Workiz to apps using Zapier

Enabling the Workiz API add-on

In order to connect Workiz to Zapier, you will need to have access to the developer API.

  1. From the navigation bar, select the Feature Center

    Not seeing the Feature Center icon in the navigation bar? You may not have the correct permissions set for your user.

    Please contact your account admin and ask them to turn on the Account Settings permission for your user type from the Roles & Permissions settings page.

  2. Under Add-ons, select Developer API

  3. Turn the toggle switch on/off to enable/disable the add-on

Creating a Zap

With Workiz, you have two different options for creating a Zap: using an existing template or creating a custom Zap from scratch.

  • Workiz has a handful of pre-built Zaps you can use with just a few clicks.

    1. From the navigation bar, select the profile/gear > Settings
    2. Under Integrations, select Zapier
    3. Find the Zap you want to use and select Use this Zap
  • You also have the option of creating a custom Zap between Workiz and another app using Zapier.

    These instructions will only provide general guidance on how to create a Zap with Workiz as the app that hosts the trigger event. You may also choose a different app as the one that hosts the trigger event.

    1. Open your Zapier dashboard
    2. Set up your Zap basics:

      1. Connect this app: Search for and select Workiz
      2. With this one: Search for and select your third-party app
      3. When this happens: Choose the event that will serve as a trigger for this Zap
      4. Then do this: Choose the action that should take place after the trigger event
      5. Select Try it
    3. Connect your Workiz account:
      1. Select Continue
      2. Enter your Workiz API credentials

        • The API credentials in Zapier are not presented in the same order as they are in Workiz. Be sure to paste the correct credential into the corresponding field. Use the color-coded screenshot above as guidance.
        • If you cannot view the Developer page to access your API tokens, please contact your account admin and ask them to turn on the Account Settings permission for your user type from the Roles & Permissions settings page.
      3. Select Test trigger
      4. Select Continue
    4. Connect your third-party app account:
      1. Select Sign in (or similar)
      2. Select Continue
    5. Set up the action you want to occur after the trigger event and select Continue
    6. Select Test & continue
    7. Verify that the Zap worked as desired and select Publish Zap Publish & turn on
