Managing and tracking invoices

In this article, you will learn how to manage and track your invoices in Workiz.

Workiz makes it easy to manage your invoices. Keeping track of your financial records will help you stay organized and ensure you’re getting paid on time.

Tracking your invoices

The Invoices page will provide you with four statuses to filter from:

  • No amount: An invoice was created, but line items were not added
  • Due: A sent invoice is unpaid but still within the due date
  • Overdue: A sent invoice has gone unpaid past the due date
  • Paid: An invoice was sent and paid

The Invoices page also offers widgets that provide a snapshot of:

  • The amount of money linked to invoices that are Due
  • The amount of money linked to invoices that are Overdue
  • The number of invoices that have been created but are Unsent
  • The number of jobs that still require invoices

Sending invoices

  1. Filter your invoices by Unsent
  2. Select the invoice(s) you want to send to your client(s) and select Send invoice

Generating invoices

The Invoices page is also a great place to not only see how many jobs still need invoices, but generate invoices as well.

  1. Select the Need invoices widget

  2. Select the job(s) you want to generate an invoice for and select Generate invoice

  3. Select Create X invoices

Manually sending reminders for overdue invoices

Workiz also makes it easy to follow up on overdue invoices by letting you send your clients a reminder of their outstanding balance.

While you can manually send clients reminders of overdue invoices, you can use Workiz Automations to automatically do this for you.

  1. Filter your invoices by Overdue
  2. Select the invoice(s) you want to remind your client(s) about and select Send reminder

Manually marking invoices as sent

While Workiz makes it easy to send invoices from both desktop and mobile, you may run into a situation where you need to send an invoice from outside of the software from time to time. Workiz lets you keep track of those invoices as well by allowing you to manually mark invoices as sent without having to bug your clients again.

  1. Filter your invoices by Overdue
  2. Select the invoice(s) you want to mark as sent and select Mark sent

Filtering invoices by time ranges

The number of invoices available on your Invoices page is only likely to increase over time. To make it easier for you to find specific invoices, Workiz allows you to filter from time ranges. 

  1. Select All time and choose a timeframe to filter from
