Auto-syncing all Workiz payments with QuickBooks Online

In this article, you will learn how to automatically sync all of your Workiz payments with your QuickBooks Online account.

As service businesses, it’s common to receive deposits for a job that will take place days, weeks, and even months into the future due to backordered parts or other circumstances. This makes it critical for your business to be able to not only account those deposits as they come in, but sync those funds to the correct job or invoice once the service actually takes place.

With Workiz, you can now automatically sync all of your payments to the right job in QuickBooks Online — with or without an invoice.

How to automatically sync Workiz payments with QuickBooks Online

In order to sync Workiz payments with QuickBooks Online, you will first need to enable the QuickBooks Online integration.

  1. From the navigation bar, select Settings > Settings
  2. Under Integrations, select QuickBooks integration
  3. From the Settings tab, select Sync all payments

Once enabled, you will no longer need to manually sync your payments to QuickBooks Online in Workiz. All payments — whether made to an estimate, invoice, or directly to a job — will automatically be synced to the right job with QuickBooks Online.

If you receive an estimate deposit for a job that will take place in the future, that payment will appear in QuickBooks Online with a status of Unapplied.

It will also be listed under the Integration log tab on your Workiz account.

Once the job takes place and an invoice is created and paid, Workiz will ensure the original deposit is applied toward the invoice in QuickBooks Online.

In QuickBooks Online, the status for the original deposit will change from Unapplied to Closed.
