In this article, you will learn how to edit the templates for the emails and text messages that are sent out to your clients when sending estimates, invoices, sales proposals, and custom documents.
Customizing your message templates
Estimates and invoices (and all other documents)
Because your estimates and invoices are sent as documents, the template messages for these can be edited from the Documents settings page. This also applies to all other documents, like your work orders and any custom documents you may have created.
- From the navigation bar, select the profile/gear icon > Settings
- Under General settings, select Documents
- Select the document you want to customize the greeting message for
- Select Email options
- Under Email message, edit the text as desired and select Save
After selecting the text editing field, you can use short code (values) to automatically generate parts of your message based on the information you've already stored in your Workiz account (i.e., client's name, business address, etc.).
- Select Save
Future documents that you send to clients will now include your updated greeting.
Sales proposals
Unlike estimates and invoices, sales proposals do not have a dedicated document. Changing this template message can easily be done from the message side pane seen right before sending your sales proposal.
- Open the job containing the sales proposal you want to send
- From the job page, select the Estimates tab
- Select Send all (proposal)
- From the message side pane, select Edit template
- Edit your template and select Save
You can also use this method to update the message templates for your estimates and invoices.
