Workiz Phone offers many intelligent tools to streamline your business communications. But whether your team is off the clock or busy with other tasks, you may not always be around to answer incoming calls for potential jobs.
A smarter way to manage missed calls
Instead of sending callers to voicemail, Genius Answering picks up for you and works to book the job right away!
To prevent these potential clients from moving onto the next number on their list, you can use Workiz Automations and Online Booking to automatically follow up on a missed call with a text message that includes a link to your booking portal. This way they have a chance to book with you and not one of your competitors.
In order to do this, you will need the following:
- Workiz Phone plan (or on-demand)
- Workiz Automations
- Online Booking
Setting up your missed call automation
This automation rule can be enabled right from the Automation Center, where you can activate a template or create the rule from scratch.
- From the top navigation bar, select Automations

Under Phone, select the Missed call / Immediate text client template

Select Preview/edit message and customize the message as desired
- Select the field under Automation will be sent and choose 24/7 to ensure clients receive an immediate text message no matter when they call
- Select Add automation
How this automation works
This automation is triggered when a call is made but not answered. Once triggered, actions are sent based on the contact details available:
- Text messages are only sent to mobile numbers, regardless of whether that number is saved to a client profile. Landlines will not receive a text message.
- Emails are only sent for saved clients with an email address on file.
- Internal notifications (by role or user) are always sent.
Please be aware that calls that go to voicemail are not covered by this automation. This applies to all calls that reach voicemail, regardless of whether the caller left a voicemail message.
