Adding conditions to your automation rules

Learn how to add conditions to your automation rules so they only trigger under specific circumstances.

Updated over a week ago

In this article, you will learn how to add conditions to your automation rules to ensure they only trigger under specific circumstances.

Workiz Automations is an add-on designed to send automatic notifications to your team and clients based on certain criteria you define. This feature is designed to save you time, prevent job cancellations, and help scale your business with less effort.

You can also refine these rules even further to ensure they only trigger under specific circumstances using conditions.

Note: In order to add conditions to automation rules, you will first need to enable the Workiz Automations add-on from the Marketplace.

To learn more about enabling this add-on, please see this article.

How conditions work

You can add multiple conditions to your automation rule to create hyper-specific scenarios (“and” conditions) or to broaden the reach (“or” conditions).

Using 'and' conditions

Adding multiple, separate conditions is effectively ensuring that the rule will only be triggered if all conditions are met.

In the example below, this automation rule will only be triggered if the job has a tag of "needs part pickup" AND a job type of "quarter load (shed demo)."

Using 'or' conditions

Alternatively, you can add multiple “or” conditions. This means that the automation rule will be triggered as long as one of the conditions is met. Using “or” conditions is a great way of reducing your list of custom automation rules.

In the example below, the automation rule will only trigger if the job has a job type of "inspection" OR a job type of "installation."

You can also add multiple conditions with each one containing multiple "or" conditions of their own. In this next example, the automation rule will only trigger if:

  • Job type = inspection AND source = Google
    OR

  • Job type = inspection AND source = Yelp
    OR

  • Job type = installation AND source = Google
    OR

  • Job type = installation AND source = Yelp

How to add conditions to your automation rules

  1. From the navigation bar, select Automations

  2. Open an existing rule from the My automations tab or create a new rule

  3. From the automation rule builder, select Add condition

  4. Choose the condition you want to add (e.g., only if job type = inspection, or only if client tag = loyal customer)

  5. Select Add automation or Update automation
