How to create and manage inventory items

Learn how to easily create and manage inventory items in Workiz.

In this article, you will learn how to create and manage items in your inventory.

Workiz’s inventory management lets you see your stock levels and inventory usage from anywhere using any device. Every usage, stock change, or return is logged and easily tracked.

In order to track changes made to your inventory, you’ll first need to create an inventory item.

Creating an inventory item

Note: In order to create and manage inventory items, you will first need to enable the Inventory add-on from the Marketplace.

  1. From the sidebar navigation, select Inventory

  2. From the Inventory tab, select Add new

  3. Complete the Create New Item fields:

    1. Product name: Enter a name for the inventory item you are creating

    2. Price: Enter the price you will charge customers for the inventory item you are creating

    3. Cost: Enter the price you pay for the inventory item you are creating

    4. Select category: Choose the category for the inventory item you are creating

    5. Select brand: Choose the brand for the inventory item you are creating

    6. SKU: Enter a stock-keeping unit (SKU) for the inventory item you are creating

    7. Reorder at: Enter the stock number that should trigger a reminder to restock your inventory for the item you are creating

    8. Taxable: Decide whether this inventory item is taxable and turn the toggle switch ON or OFF as desired

    9. Description: Enter a brief description to help identify this inventory item

    10. Select Save

Removing an inventory item

  1. From the navigation bar, select Settings > Settings

  2. Under Job Settings, select Items & products

  3. Select the item you want to remove

  4. Turn the toggle switch for Enable item OFF and select Save

The item will now appear in the Disabled section of your Items & products page, and will not be visible when adding inventory items to estimates, invoices, and jobs.

Managing inventory stock

Adding inventory stock to a location

From the Inventory page, whenever your stock goes below the restocking number you entered when creating the item, items listed in your inventory will feature a LOW STOCK tag as a reminder to restock this item.

You can also filter by Low Stock levels on the Inventory page to only display items that need to be restocked.

Once you have identified which items have low stock levels, you can restock and update your Workiz inventory accordingly.

  1. From the Inventory page, next to the inventory item stock you want to update, select the stock icon

  2. Decide which location inventory you want to add units to and select the add items icon

  3. Enter the number of units you want to add to your inventory and select Save

Moving inventory stock to a different location

  1. Next to the inventory item stock you want to update, select the stock icon

  2. Decide which location inventory you want to edit and select the move items icon

  3. Complete the Move item to location fields:

    1. Quantity: Enter the number of units you want to move from this location

    2. Location: Choose the location you want to move these units to

    3. Select Save

Returning inventory stock from a location

  1. Next to the inventory item stock you want to update, select the stock icon

  2. Decide which location inventory you want to edit and select the return items icon

  3. Complete the Item return fields:

    1. Quantity: Enter the number of units you want to return to this location

    2. Return: Enter a brief description explaining why you are returning these units

    3. Select Save

Reviewing inventory stock changes

All changes you make to your inventory will be visible from the Inventory Usage Report.

To view these changes, open the report and select the Action log tab.
